Setting up your first sync schedule

Overview

Sync schedules determine how often Synchr.ai transfers data between your connected platforms. You can configure syncs to run in real-time, on a recurring schedule, or manually on demand.

Available Schedule Types

  • Real-time — Changes are synced within seconds via webhooks (requires Pro plan or higher)
  • Scheduled — Syncs run at fixed intervals: every 15 minutes, hourly, daily, or weekly
  • Manual — Syncs only run when you trigger them from the dashboard

Creating a Schedule

Navigate to Syncs > New Schedule in your dashboard. Select the source and destination platforms, choose the objects to sync (e.g., Contacts, Companies, Deals), and configure your field mappings.

Step 1: Select Objects

Choose which HubSpot objects you want to sync. You can select one or more objects per schedule. Each object type can have its own field mapping configuration.

Step 2: Configure Field Mapping

Map source fields to destination fields. Synchr.ai will automatically suggest mappings based on field names and types. You can customize any mapping or add transformation rules.

Step 3: Set Frequency

Choose how often the sync should run. For most use cases, we recommend starting with an hourly schedule and adjusting based on your needs.

Monitoring Your Sync

After creating a schedule, monitor its status on the Sync Dashboard. Each sync run shows the number of records processed, any errors encountered, and the duration of the sync operation.

Best Practices

  • Start with a small dataset to verify your field mappings are correct
  • Use filters to exclude test records or irrelevant data
  • Set up error notifications to be alerted when syncs fail
  • Review sync logs weekly to identify and resolve recurring issues
